Position Announcement

Director of Operations 

The Avarna Group is seeking a Director of Operations. The Director of Operations oversees general daily client and Avarna community communications, bookkeeping, project management and administrative tasks. This position provides leadership in establishing and updating organizational systems, maintaining necessary business filings and documents, and managing finances and appropriate filings. The Director of Operations works closely and collaboratively with the Avarna Group founding partners (Ava and Aparna) and team members.

Areas of Responsibility:

Operations & Administration:

  • Plan and participate in check in calls with Ava & Aparna as well as Avarna all-team Zoom meetings
  • Make regular minor content updates to the Avarna Group website and maintain contact information in Quickbooks, Google Contacts, and MailChimp, as well as any other data management apps with relevant client information
  • Ensure business information is updated across online accounts and with clients
  • Ensure internal documents and templates are updated regularly and Google Drive folders are organized
  • Maintain proper business registration, certifications, documentation (e.g. state annual reports, insurance, client contracts)

Client & Avarna Community Communications:

  • Manage the [email protected] email account, which serves as the first point of contact with The Avarna Group
  • Schedule Zoom meetings and webinars for Avarna Group partners with prospective and current clients (as needed)
  • Support Avarna team members with drafting, sending, and monitoring proposals in Proposify 

Bookkeeping & Finances:

  • Maintain and update financial information related to expected income, operating expenses, and the Avarna fund (funds allocated to special projects and philanthropic giving)
  • Maintain records of  Avarna Group income and expense accounts in Quickbooks 
  • Support the management of accounts receivable 
  • Manage accounts payable for Avarna team members and external vendors 
  • Generate reports and provide necessary information to Avarna Group CPA as needed
  • Assist in filing quarterly and end of year tax documents and other simple tax duties

Project Management:

  • Support Ava and Aparna in creating and maintaining a system for work planning
  • Support Ava and Aparna in creating and maintaining a system for tracking project progress 

Required Knowledge, Skills & Experience:

  • Access to and use of reliable personal computer and Internet connection

Other Job Details:

Compensation & Benefits: $40/hour with guarantee of 10 hours per week. Compensation is negotiable. This is a contract position with no benefits.

Location & Work Schedule: This is a remote position.
